Privacy, Terms & Security

Last updated 9 August 2026. These documents govern your use of Fixa. By creating an account or using the service you accept them in full.

Privacy Policy

Fixa is operated by Tax Falcon Pty Ltd (“Fixa”, “we”, “us”). This policy explains what we collect, why, and what we do with it. We handle personal information in line with the Australian Privacy Principles under the Privacy Act 1988 (Cth).

What we collect

  • Account data — name, email address, password hash, team and workspace membership.
  • Content you upload — screenshots, boards, feedback notes, replies, attachments and voice recordings, plus text transcribed from those recordings.
  • Usage data — pages viewed, features used, device and browser type, IP address, and timestamps.
  • Billing data — handled by our payment processor. We never see or store your full card number.

How we use it

To run and secure the service, transcribe your voice notes, deliver the features you ask for, process payments, answer support requests, detect abuse, and improve Fixa. We may send you service emails; marketing emails always carry an unsubscribe link.

Who we share it with

Only with the sub-processors that make Fixa work — hosting, storage, transcription, analytics, email and payments — each bound to protect it, plus anyone we are legally required to disclose to. We do not sell your personal information and we do not use your board content to train third-party AI models without your explicit consent.

Retention and your rights

We keep your content while your account is active and for up to 30 days after deletion, after which it is purged from live systems and rolls out of backups on our normal backup cycle. You can access, correct, export or delete your data at any time from your account, or by emailing us. If you are unhappy with how we have handled your information you may complain to the Office of the Australian Information Commissioner.

Cookies and children

We use essential cookies for sign-in and a small number of analytics cookies. Fixa is not intended for anyone under 16, and we do not knowingly collect their information.

Terms & Conditions

1. Your account

You must be 16 or older and provide accurate details. You are responsible for everything that happens under your account and for keeping your credentials secure. One account per person; team seats are for named individuals.

2. Acceptable use

Don’t upload unlawful, infringing or malicious content, don’t attempt to breach, overload, scrape or reverse-engineer the service, and don’t resell or white-label Fixa without our written permission. We may suspend or terminate any account that breaches these terms, at our discretion and without refund.

3. Your content

You keep ownership of everything you upload. You grant us a worldwide, royalty-free licence to host, store, copy, transmit, transcribe and display that content solely to operate, secure and improve the service, and you confirm you have the rights to upload it. You are solely responsible for your content and for keeping your own copies.

4. Our intellectual property

Fixa, its software, design, branding and all associated intellectual property remain ours. We grant you a limited, non-exclusive, non-transferable, revocable licence to use the service while your account is in good standing. All rights not expressly granted are reserved. Any feedback or suggestions you give us may be used freely and without compensation.

5. Availability and changes

The service is provided on an “as is” and “as available” basis. We may change, add, remove or discontinue features, plans or limits at any time, and we may update these terms — continued use after an update means you accept it. We do not promise uninterrupted or error-free operation.

6. Liability

To the maximum extent permitted by law we exclude all warranties and are not liable for indirect, incidental or consequential loss, lost profits, lost data or business interruption. Where liability cannot be excluded, our total liability is capped at the greater of AUD $100 or the fees you paid us in the 12 months before the claim. Nothing in these terms excludes rights you have under the Australian Consumer Law that cannot lawfully be excluded. You agree to indemnify us against claims arising from your content or your misuse of the service.

7. Governing law

These terms are governed by the laws of Victoria, Australia, and you submit to the exclusive jurisdiction of its courts.

  • Paid subscriptions are billed annually in advance and renew automatically until cancelled.
  • All fees are non-refundable. We do not provide refunds or credits for partial periods, unused time, downgrades, or accounts suspended or terminated for breach of these terms.
  • Cancel any time from your account settings — cancellation stops the next renewal and your plan stays active until the end of the paid period.
  • Prices are in Australian dollars and may change; changes apply from your next renewal, and we will tell you before they do.
  • Failed payments may result in suspension or downgrade of your account.
  • Nothing here limits any non-excludable remedy you have under the Australian Consumer Law.

Security

Your boards hold unreleased product work, so we treat security as a first-class feature and apply strong, industry-standard protections across the whole stack.

  • All traffic encrypted in transit with TLS 1.2+; content and attachments encrypted at rest.
  • Passwords stored only as salted hashes — never in plain text, and never visible to us.
  • Strict access controls: boards are private to your team by default, and staff access is role-limited, logged and only used to support you.
  • Hosted with reputable cloud infrastructure providers in secure, audited data centres, with encrypted backups.
  • Continuous monitoring, dependency patching and regular security review of new features.
  • If a data breach affecting you ever occurs, we will notify you and the relevant regulator as required by the Notifiable Data Breaches scheme.

No online service can promise absolute security, and you are responsible for keeping your own credentials safe. Found a vulnerability? Email security@fixa.app and we will respond quickly.
